JOB DESCRIPTION

ROLE MAIN PURPOSE:
Will be responsible to manage and coordinate all incoming communication channels for the CEO's office. And for ensuring efficient and effective communication with internal and external stakeholders.

 

Key Responsibilities:

FUNCTIONAL RESPONSIBILITIES

  • Serve as the primary point of contact for all incoming communication channels, including phone calls, emails, and other messaging platforms.
  • Handle and prioritize incoming inquiries, requests, and messages, ensuring timely and appropriate responses or redirecting them to the relevant individuals.
  • Maintain a professional and courteous demeanour when interacting with stakeholders, clients, and partners.
  • Monitor and manage the CEO's email inbox, filtering and categorizing messages for efficient handling.
  • Gather, organize, and disseminate information to the appropriate parties within the CEO's office.
  • Collaborate with internal teams to obtain necessary information for timely responses and follow-ups.
  • Maintain detailed and organized records of incoming communication, including logs, databases, and tracking systems.
  • Build and maintain positive relationships with internal and external stakeholders.
  • Respond promptly to inquiries and requests, providing accurate and helpful information or directing them to the appropriate contacts.
  • Ensure exceptional customer service and satisfaction in all interactions.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Ensure compliance with privacy and data protection regulations.

 

  • Educational Qualifications: Bachelor's degree in Business Administration, Marketing, Public Relations, or a related field.

 

  • Professional Experience: Minimum 3+ years’ experience in inbound communications for high-level support to executives, preferably in a similar organization with similar operations.
