ROLE MAIN PURPOSE:

To oversee and manage the company’s facilities, workplace services, office environment, and administrative facility operations, ensuring that all premises are safe, functional, well-maintained, cost-efficient, and aligned with business needs. The role acts as the main focal point from Admin Services for facility-related requirements and coordinates with the Operations Departments for technical maintenance and repairs support.

 

Key Activities:

FUNCTIONAL RESPONSIBILITIES:

  • Oversee the day-to-day management of company facilities, offices, workspaces, shared areas, and related facility systems.
  • Manage workplace services, including office readiness, furniture, utilities coordination, cleaning, security coordination, and general facility support.
  • Manage office space planning, seating arrangements, workplace allocation, facility utilization, relocations, renovations, and reconfigurations to meet changing business needs.
  • Maintain updated records of office layouts, assets, facility usage, and workplace requirements.
  • Monitor facility conditions and conduct regular inspections to identify maintenance needs, address issues promptly, and ensure compliance with safety requirements.
  • Act as the Admin Services focal point for facility-related maintenance requirements and coordinate with the Operations Departments on preventive and corrective maintenance activities.
  • Ensure maintenance activities are planned and executed with minimal disruption to employees and business operations.
  • Escalate critical facility and maintenance issues to the relevant stakeholders when required.
  • Identify, evaluate, and manage relationships with vendors, contractors, and service providers for facility-related services, including cleaning, security, landscaping, furniture, pest control, and other administrative support services.
  • Monitor vendor performance against agreed service levels and contractual obligations.
  • Monitor facility-related expenses, identify cost-saving opportunities, and implement strategies to optimize operational costs without compromising quality or safety.
  • Ensure compliance with health and safety regulations, codes, and standards within the facilities.
  • Develop and implement facility-related policies and procedures to maintain a safe, healthy, and efficient working environment.
  • Serve as a key point of contact for internal departments and ensure timely response to employee and departmental facility requests.

 

LEADERSHIP RESPONSIBILITIES

  • Oversee workforce planning and talent acquisition strategies, reports, figures, and budgets of the facility management to ensure adequate staffing levels aimed at contributing to the achievement of the strategic objectives of Kidana. 
  • Set performance management objectives based on facility management KPI’s and performance targets for all reporting team members and perform mid-year and year-end performance reviews.
  • Direct the identification of talent for pivotal roles in coordination with the Human Capital Department from a succession management standpoint. 
  • Lead, guide, and supervise the Facilities Management team within the Admin Services Department to ensure effective service delivery and alignment with departmental objectives.
  • Take decisive action to ensure speedy resolution of unresolved grievances or conflicts among team members.
  • Assign responsibilities, oversee daily activities, monitor team performance, and ensure timely and quality delivery of facility management services.
  • Support team capability building and ensure adherence to company policies and service standards.

 

Educational Qualifications: Bachelor's degree in Facilities management, Engineering, Business Administration or a related field.

 

Professional and Technical Certificates (Preferred): Certified Facility Manager (CFM) or Facilities Management Professional (FMP).

 

Professional Experience: Minimum 8+ years’ experience in facilities management, preferably in a similar organization with similar operations.
