ROLE MAIN PURPOSE

To manage the day-to-day operation, administration, and performance of the Computer-Aided Facility Management (CAFM) and asset management systems, ensuring data accuracy, process compliance, and effective utilization across all facilities.

The role supports the Senior Manager by implementing system standards, coordinating with stakeholders, maintaining asset information integrity, and delivering timely reports and analytics that enable informed maintenance planning, lifecycle management, and operational efficiency. The position also drives user adoption, training, and continuous system improvement in line with organizational policies and digital transformation objectives.

Functional Responsibilities

  • Manage day-to-day operations of Maximo (EAM) and ensure efficient system utilization.
    Lead the design and development of operational workflows for assets, maintenance, service requests, and seasonal readiness.
    Supervise asset and contract registration, resource mapping, work orders, and workflow implementation.
    Ensure that no operational or maintenance activities are carried out outside the system.

 

Enabling Asset‑Owning Departments

  • Enable departments to register assets based on approved templates, upload and update preventive maintenance 
  • plans, and manage maintenance teams and contractors through the system.
    Address operational challenges faced by departments in using the system.
    Ensure asset data completeness and readiness before operational activation.

Service Requests & Seasonal Readiness

  • Oversee Maximo integration with the Service Request Center
  • Follow up on service requests from both the Service Request Center and asset‑owning departments.
  • Lead service‑request management during the Hajj season to ensure:
    • Rapid response
    • Priority-based dispatching
    • Operational readiness
    • Resolution of delays or performance issues

Maintenance, Planning & Scheduling

  • Implement and activate preventive maintenance plans.
    Manage maintenance schedules and tasks within the system.
  • Monitor completion rates, analyze deviations, and update maintenance plans where required.
  • Coordinate with departments to resolve operational bottlenecks.

Resource Allocation (Core Role)

  • Allocate and link operational resources within the system, including:
    • Human resources (technicians, teams, contractors)
    • Equipment and machinery
  • Ensure no work order is carried out without properly assigned and approved resources.

Contracts & Invoices

  • Register operational and consultancy contracts within Maximo.
  • Perform required periodic updates and link contracts to assets, work orders, and resources.
  • Enable stakeholders to submit invoices and link them to executed work.
  • Activate payment processes using verified operational data.

Data Quality & Governance

  • Improve data quality for assets, resources, and contracts within the system.
  • Ensure the application of approved asset classification and registration templates.
  • Oversee the adherence to operational governance and prevent any bypassing of the system.

Reports & Executive Support

  • Prepare periodic operational reports, including maintenance performance, SLA compliance, completion rates, and contractor performance.
  • Submit analytical reports and operational observations to the Senior Manager – CAFM.

 

Educational Qualifications: Bachelor’s degree in industrial engineering, Mechanical Engineering, or Information Technology or any related fields

Professional and Technical Certificates (Preferred): CPRP (Certified Maintenance & Reliability Professional), FMP (Facility Management Professional), PMP (Project Management Professional), IBM Maximo Functional/Administrator Certification

Professional Experience

Minimum 8+ years’ experience in maintenance operations or facility management systems
